01What we collect

Enquiry and order data: your name, email address, telephone number, installation address and postcode, and the details of the appliance and the space it is going into.

Service records: notes, photographs of the installation site or appliance where you send them or our engineer takes them, certificates issued, and warranty registrations.

Recruitment data: the contents of your application when you email careers@voltia.uk, including your country of residence and right-to-work position for remote engagements.

Website data: aggregate, cookieless page analytics only. See our Cookie Policy for what this site does and does not store on your device.

02Why we use it

To quote for and carry out work you have asked for (performance of a contract); to meet gas and electrical safety record-keeping duties and tax record duties (legal obligation); to handle warranty claims and complaints, and to improve the service (legitimate interests); and to send occasional service emails where you have asked for them (consent).

We do not sell personal data and we do not use it for automated decision-making or profiling.

03Who we share it with

Appliance manufacturers, for warranty registration and parts. Our delivery partner for UK-wide deliveries outside the installation radius. Our accountants and, where a payment is disputed, our payment provider. Cloud email, storage and website hosting providers acting on our instructions under written processing terms.

This website is hosted on Cloudflare Pages, so Cloudflare processes the IP address of every request in order to serve the site and protect it from abuse. The enquiry form is delivered to us by FormSubmit, which processes the details you type into it.

Fonts, stylesheets, images and scripts on this site are all served from voltia.uk. No third-party font, analytics or advertising provider receives your IP address as a result of loading a page here.

Where a processor is outside the UK, transfers are made under the UK International Data Transfer Addendum or an adequacy regulation.

04How long we keep it

Quotations that do not become orders: 12 months. Order and installation records including certificates: 6 years from completion, to cover warranty and tax obligations. Unsuccessful job applications: 6 months. Marketing consent records: until you withdraw consent plus 12 months.

05Your rights

You have the right to access your data, to have inaccurate data corrected, to erasure or restriction where our grounds no longer apply, to object to processing based on legitimate interests, to data portability, and to withdraw consent at any time.

Email hello@voltia.uk to exercise any of these. We respond within one month. If you are unhappy with our response you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

06Security

Access to customer records is limited to staff who need it, accounts use two-factor authentication, and devices used by our remote team are encrypted. We will notify you and the ICO of a personal data breach where the law requires it.
